Cancellation & Refund Polic
This policy applies to bookings made through The Vacation Studio (“TVS”). Supplier rules (airlines/hotels/ground operators) apply and may impose higher/non-refundable penalties.
1. How to Cancel
- Cancellations must be requested in writing from your registered email/WhatsApp number.
- The “cancellation date” is the date/time TVS receives your written request.
2. Cancellation Charges (TVS + Supplier)
- Cancellation charges are the higher of:
- (a) Supplier cancellation/penalty charges (including non-refundable fares, no-show fees, and applicable taxes/fees); and
- (b) TVS cancellation/handling charges (if specified in your quotation/invoice).
- For customised and international itineraries, supplier penalties may apply immediately upon booking (non-refundable deposits, peak-season policies, long-haul air tickets).
3. Typical Cancellation Slabs (Guidance Only)
Actual charges depend on supplier policies and may differ. Unless your invoice states otherwise:
3.1 Domestic packages (per person)

3.2 International packages (per person)

4. Non-Refundable Components
The following may be fully non-refundable once booked: flight tickets (certain fare
classes), visa fees, insurance premiums, hotel deposits, peak-season bookings, special events, and many activities/transfers.
5. Partial Cancellations / Repricing
If one or more travellers cancel from a group booking, remaining travellers’ prices may change due to room occupancy rules, single supplements, and supplier repricing. Any additional cost must be paid by the Client.
6. No-Show / Early Departure / Unused Services
- Failure to check-in or board on time is treated as a no-show; refunds are typically not available.
- Early departure or unused services are non-refundable unless the supplier provides a refund.
7. Date Changes / Amendments
- Changes are subject to availability and supplier rules. You may pay supplier change fees + fare/rate differences + taxes, plus TVS handling fee (if applicable).
- Name changes are often not permitted by airlines/hotels; where permitted, strict fees apply and may require re-issuance.
8. Visa Refusal / Denied Entry
- Visa refusal/denial of entry is not treated as a TVS cancellation default. Refunds (if any) depend on supplier rules and may exclude visa/insurance and non-refundable bookings.
9. Refund Timelines
- Refunds are processed after TVS receives funds back from Suppliers (where applicable).
- After receipt from Suppliers, TVS will process refunds within 15–21 working days.
- Refunds are made to the original payment method where feasible. Bank/payment gateway charges are non-refundable.
10. Force Majeure / Disruptions
In events like natural disasters, government restrictions, epidemics/pandemics, strikes, or airline schedule changes, refunds/credits/reschedules depend on supplier policies and government directions. TVS will assist in pursuing available options.
11. Travel Insurance
We strongly recommend trip cancellation/curtailment insurance. Insurance claims are subject to insurer terms and documentation.
